Front Office Admin
Position Title
Behavioral Health Front Office Admin (Full Time: approximately 35-40hrs/per week).
Position Availability
Mid-to-late December 2025 (Specific start date is flexible).
Prior Experience
The ideal candidate has experience in behavioral health front office admin work (including managing new patient inquiries, appointment scheduling, and insurance claim submission and billing collection).
Madison Neuropsychological Services uses Intake Q as an Electronic Health Record; although not required, the ideal candidate would have prior experience working with this program.
Position Description
To provide daily administrative support for mental health therapists and psychologists within a small yet vibrant private mental health practice., Madison Neuropsychological Services, LLC (MNS) is seeking a behavioral health front office admin. The ideal candidate is detail-oriented, possesses strong computer skills, has excellent time-management skills, and can work independently as well as collaboratively with MNS clinicians and staff.
This is a W2 position within a group private practice structure. This position offers hourly compensation based on prior experience (expected pay range: $22-24/per hour).
Madison Neuropsychological Services is located within a large, medically oriented office building on the west side of Madison, conveniently located just off Mineral Point Road, near Highway 12/18 (the Madison Beltline). The facility has ample on-site parking as well as other amenities (newly renovated restrooms, staff lunch/break room). Duties and Responsibilities
Show a strong ability to multitask in a high-volume, fast-paced clinical mental health practice.
Maintain an open and friendly demeanor as patients arrive at MNS.
Communicate with patients, clinicians, & referring providers with scheduling & service coordination.
Manage office email, mail, phone, and faxes.
Conduct new patient screening calls and prepare new patient files/intake paperwork packets.
Maintain and order supply lists.
Manage clinician schedules and meet the individual requests of the various clinicians.
Manage insurance claim submission and bill payment via Intake Q.
Manage outgoing and incoming records requests for providers.

Ability to create a hybrid schedule (with flexibility in-office and remote daytime working hours).
Use of HIPAA-compliant email, faxing, and phone services.
The MNS front office admin will have access to Practice Q (MNS EHR).
Full use of a renovated and furnished office space within a serene and welcoming atmosphere.
Holiday pay is provided for all MNS employees in addition to hourly salary.
MNS part-time employees are eligible for 401K contribution-matching through MNS (after 1 year of employment). .
Required Qualifications
Attention to detail is a MUST.
A minimum of a 2-year college degree is preferred but not required.
Possess strong computer skills for data entry and billing procedures.
Have excellent people and communication skills, both written and verbal.
Must be willing to complete a background check.
Must be able to maintain a professional demeanor in times of stress or mental health crisis.
A minimum of a one-year commitment to MNS is strongly preferred.
